In recent years, the health­care sec­tor is increas­ing­ly recog­nis­ing the need for mod­ern, inter­op­er­a­ble data sys­tems that can keep pace with the grow­ing com­plex­i­ty and vol­ume of med­ical data. As the demand for real-time data pro­cess­ing and seam­less inte­gra­tion across plat­forms is on the rise, out­dat­ed tech­nol­o­gy and inef­fi­cient work­flows have become sig­nif­i­cant obsta­cles for many organ­i­sa­tions. The exist­ing EBMT Reg­istry was no excep­tion, fac­ing chal­lenges com­mon in the indus­try, such as out­dat­ed tech­nol­o­gy, inef­fi­cient work­flows, and lim­it­ed inte­gra­tion capabilities.

The users behind this sys­tem, like data man­agers and researchers, were fre­quent­ly hin­dered by repet­i­tive data entry, asyn­chro­nous data updates, and non-per­for­mant large-scale patient data­bas­es. These bot­tle­necks are reflec­tive of broad­er indus­try strug­gles. Lega­cy sys­tems often fail to sup­port the fast-paced, data-dri­ven envi­ron­ment nec­es­sary for advanc­ing research and improv­ing patient care. As a result, these inef­fi­cien­cies not only slowed down the accu­ra­cy and effi­cien­cy of data col­lec­tion and analy­sis but also had a tan­gi­ble impact on patient care and research outcomes.

Solution

To tack­le these chal­lenges, our strate­gists embarked on an in-depth analy­sis of the exist­ing sys­tem. This process began with work­shops and inter­views involv­ing EBMT employ­ees across var­i­ous roles. Data man­agers, researchers, and reg­istry admin­is­tra­tors all con­tributed invalu­able insights, help­ing us to deeply under­stand the spe­cif­ic needs and pain points of those who relied on the sys­tem dai­ly. Their input was cru­cial in shap­ing our approach.

With these insights, our design and devel­op­ment teams craft­ed a robust, user-friend­ly plat­form tai­lored to meet the diverse require­ments of EBMT’s staff. The plat­form was built with smart forms that fea­tured intu­itive lay­outs, real-time val­i­da­tion, and auto-com­ple­tion capa­bil­i­ties — tools specif­i­cal­ly designed to stream­line the data entry process and min­imise errors. Qual­i­ty assur­ance was a top pri­or­i­ty, and our engi­neers imple­ment­ed mul­ti­ple lay­ers of con­trol, includ­ing Source Data Ver­i­fi­ca­tion (SDV) and data approval work­flows, to ensure the high­est stan­dards of data integrity.

Our tech­ni­cal spe­cial­ists devel­oped a robust web-based data entry plat­form along­side a high­ly con­fig­urable form builder, facil­i­tat­ing seam­less data input and rig­or­ous qual­i­ty con­trol. The team also engi­neered sophis­ti­cat­ed data pipelines, ensur­ing the smooth migra­tion of lega­cy data and seam­less inte­gra­tion with the OMOP Com­mon Data Mod­el (CDM). This enabled stan­dard­ised data rep­re­sen­ta­tion and advanced analysis.

Through­out the project, our design team employed a mod­u­lar approach, allow­ing end-users to cus­tomise the plat­form to fit their spe­cif­ic needs. This flex­i­bil­i­ty not only enhanced pro­duc­tiv­i­ty but also sig­nif­i­cant­ly boost­ed user sat­is­fac­tion. The col­lab­o­ra­tive effort of every­one involved — from ini­tial analy­sis to final imple­men­ta­tion — was key to the suc­cess of this transformation.

Implementation

Our team main­tained a col­lab­o­ra­tive approach, con­tin­u­ous­ly gath­er­ing feed­back from EBMT staff to refine the plat­form. Infra­struc­ture experts devel­oped a scal­able Kuber­netes plat­form (EKS) with iso­lat­ed envi­ron­ments and Ama­zon Cog­ni­to for authen­ti­ca­tion. Using Infra­struc­ture as Code (IaC) via Ter­raform, the infra­struc­ture was set up and test­ed in iter­a­tions to ensure reli­a­bil­i­ty. This set­up not only guar­an­tees a secure and sta­ble envi­ron­ment but also makes it eas­i­er to adapt and scale the plat­form as the organ­i­sa­tion’s needs evolve.

Data spe­cial­ists stream­lined migra­tion with a cus­tomis­able frame­work, ensur­ing integri­ty and smooth tran­si­tions. The plat­form was aligned with the OMOP Com­mon Data Mod­el (CDM), enabling stan­dard­ised data rep­re­sen­ta­tion and advanced ana­lyt­ics. The user expe­ri­ence sup­port­ed the cre­ation of a form con­fig­u­ra­tor for accu­rate data entry and adapt­abil­i­ty. Through­out the whole process, we pro­vid­ed ongo­ing sup­port to make the tran­si­tion as smooth as pos­si­ble, boost­ing data integri­ty, scal­a­bil­i­ty, and over­all satisfaction.

A team of high­ly spe­cialised data engi­neers and ana­lysts, many hold­ing PhDs in health­care or biol­o­gy, played a cru­cial role in this project. Their deep under­stand­ing of the sub­ject mat­ter allowed them to com­mu­ni­cate effec­tive­ly with the client, ensur­ing that the plat­form met the spe­cif­ic needs of the health­care sec­tor. Experts from sev­en dif­fer­ent com­pa­nies col­lab­o­rat­ed on this project over sev­er­al years, bring­ing a wealth of knowl­edge and expe­ri­ence to every phase of development.

Results

The chal­lenges of the EBMT team with their reg­istry sys­tem were clear: out­dat­ed tech­nol­o­gy, inef­fi­cient work­flows, and bar­ri­ers to seam­less data inte­gra­tion were hold­ing back the poten­tial of researchers and health­care pro­fes­sion­als. In response, we trans­formed how data is cap­tured and man­aged, mak­ing the entire process more accu­rate and efficient.

Our user-cen­tred design approach paid off, result­ing in a plat­form that’s not only pow­er­ful but also intu­itive and easy for every­one to nav­i­gate — whether you’re a data man­ag­er, researcher, or admin­is­tra­tor. Real-time val­i­da­tion and advanced mon­i­tor­ing tools have raised the bar for data integri­ty, ensur­ing that the infor­ma­tion is always reliable.

By inte­grat­ing with the OMOP CDM, we’ve giv­en users the tools they need to push the bound­aries of hematopoi­et­ic cell trans­plan­ta­tion research. The plat­form is mod­u­lar and the cus­tomis­able design means it’s ready for what­ev­er the future holds, pro­vid­ing a sol­id foun­da­tion that can grow and evolve along­side advance­ments in the field.

Conclusion

Our trust­ed part­ner­ship with EBMT results in a mod­ern, scal­able, and user-friend­ly reg­istry that sup­ports the cru­cial work of health­care pro­fes­sion­als in hematopoi­et­ic cell trans­plan­ta­tion. This plat­form not only address­es cur­rent chal­lenges but also lays a strong foun­da­tion for future advance­ments, guar­an­tee­ing EBMT remains at the fore­front of HCT research and patient care.
